ConnecTr Exhibitor Agreement and Terms of Use
DEFINITIONS
For the purposes of this Agreement:
- Organizer refers to the ConnecTr Team (Kanada Geyikleri & Katalog Kanada).
- Exhibitor refers to the company or business entity purchasing a booth/table to participate in ConnecTr Turkish Community Fair
PARTIES AND SUBJECT
This Agreement is entered into between the Organizer and the company, individual, or business entity that purchases a booth/table as an Exhibitor for the ConnecTr Turkish Community Fair, an event organized annually by the Connectr team.
EVENT SCHEDULE
- Setup: 08:00 – 10:00 (All booths must be fully set up by 10:00)
- B2B Networking Session: 10:00 – 11:00 (Dedicated time for Exhibitors to connect and explore business collaborations)
- Exhibition Opens: 11:00
- Exhibition Closes: 17:00
- Move-Out: 17:00 – 18:00 (Booths must be dismantled and the area vacated)
PAYMENT AND CANCELLATION POLICY
- Payment: Booth/table selection and purchase are completed through the Organizer’s online system.
- Cancellation: Cancellations made 30 days or less prior to the event date are strictly non-refundable.
BOOTH USE AND OPERATIONAL RULES
- Non-Transferability: Exhibitors may not transfer or sublease their booth/table to third parties without prior written consent from the Organizer.
- Booth Layout Changes: The Organizer reserves the right to modify the booth layout due to operational or technical requirements. Such changes do not entitle the Exhibitor to any refund.
- Promotion Restrictions: Exhibitors may promote only their own brand. Advertising for third parties is prohibited. No materials may be affixed to venue walls, windows, columns, or common areas.
- Noise Control: Use of music, microphones, speakers, amplifiers, or any form of audio announcement at booths is strictly prohibited.
- Capacity: Each booth/table is limited to a maximum of two (2) staff members, and two (2) chairs will be provided.
FOOD SALES AND HEALTH COMPLIANCE
- Exhibitors selling or distributing food are solely responsible for full compliance with Ontario provincial health and food safety regulations.
- The Organizer assumes no responsibility for health inspections, violations, or claims arising from food products. All legal and financial liability rests with the Exhibitor.
ELECTRICAL USAGE
- Electrical outlets are located in common areas.
- Exhibitors requiring power at their booth must provide their own extension cords that comply with applicable safety standards.
PROMOTIONS AND RAFFLES
- Any raffles, giveaways, or promotional activities conducted at Exhibitor booths are the sole responsibility of the Exhibitor.
- The Organizer is not obligated to promote, announce, or otherwise support such activities within the event space.
LIMITATION OF LIABILITY
- The Exhibitor is solely responsible for its personnel, equipment, products, and interactions with attendees throughout the event.
- The Organizer shall not be held liable for loss, theft, damage, personal injury, or claims made by third parties arising from participation in the event.
MEDIA RELEASE AND PROMOTIONAL RIGHTS
- The Exhibitor grants the Organizer the irrevocable right to capture and use photographs and video recordings taken during the event for promotional, marketing, archival, and commercial purposes, without limitation in time or geography.
ENFORCEMENT AND PENALTIES
- The Organizer reserves the right to remove any Exhibitor from the event, without refund, for violations of this Agreement, including but not limited to unauthorized promotion, excessive noise, or failure to comply with operational rules.
FORCE MAJEURE AND EVENT CANCELLATION
- General Cancellation: In the event the exhibition is cancelled due to circumstances beyond the control of the parties, including but not limited to natural disasters, fire, pandemics, governmental restrictions, or war, payments will be refunded less applicable banking and processing fees, or the event may be rescheduled.
- Postponement: If the event is postponed, payments shall remain valid for the rescheduled date. Refunds requested by Exhibitors will be processed less banking and transaction fees.
- Weather Conditions (Outdoor Food Area): If the outdoor food area is cancelled due to severe weather conditions, affected Exhibitors will receive a 50% refund of their participation fee.
GOVERNING LAW AND JURISDICTION
This Agreement shall be governed by and construed in accordance with the laws of the Province of Ontario and the laws of Canada applicable therein. Any disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of Ontario.
